This month I'm doing something a little different — sharing the tools and software I've personally relied on throughout my years in photography. I've included affiliate links throughout, so you can save a little before committing.
Running a successful photography business isn't easy. It's one of the most competitive markets out there, and every year countless shutterbugs launch their passion into a side hustle, only to come up short. It's a tough gig — but not impossible.
It doesn't matter if you’re just starting or have been snapping stunning shots for years, a professional photographer needs the right digital tools in their kit. In this article, I've rounded up my favuorite photography software tools ranging from photo organisation, project management software, photo editing tools, and more. Everything a photographer needs to get headed in the right direction.
Ready? Great. Let's snap to it! :)

Best Photo Editing Software For Photographers
Every pro photographer knows your job truly begins after you take your pics. It's quite easy to generate 100s of photos in mere seconds but if that's all it took, everybody in the world would just hire their friends for their big events. A scary thought! No, to make photos shine their brightest, you'll need software that enhances every pixel of an image. Here are my top picks for getting the job done right!
Adobe Lightroom and Photoshop Beta
essential image editing software
This is the industry standard, no real words are needed. If you don't have Adobe Lightroom, you're way behind in the times. The great thing about it is it's cheap! Only $19.99 per month (or around $15 for new users) and as a bonus, photoshop comes with it. Signing up for this is a no-brainer.
Going a step further is Photoshop Beta. It comes with additional features and early access to state-of-the-art tech not seen anywhere else. For example, I love how easy it is to remove unnecessary people or things in the background, use reference assets for generating variations, and the overall higher quality content. If you love to tinker around, you'll fall head over heels for Photoshop Beta.
➡️ Pro tip: Save huge by buying a package on Black Friday or finding lucrative Amazon Deals!
Aftershoot
One of my go-to culling software programs
The next entry on the list can be a real game-changer for you, particularly if you spend more time than you should sorting through photos. Aftershoot is a useful AI-powered tool that, with a click of a button, automatically selects the top images from a substantial photo session. Gone are the days of spending hours browsing through photos one by one. This useful program analyzes focus, sharpness, composition, and even detects duplicate images, helping you quickly identify the top quality shots!
It's so accurate, I love it! Plus, it's customizable, adapting to any style or vision. Plus, plus, it learns from your choices over time, steadily improving its accuracy, which in turn saves even more time! What more can you ask for, especially for how cheap and easy it is to use!?!
➡️ Plans start at $10 per month (billed annually) but get an even better deal of 10% off using this discount code!
Imagen AI
Use AI power to Cull & edit your photos with ease
Another powerful AI tool I highly recommend is Imagen AI. It's similar to Aftershoot in how it adapts to you but focuses more on editing images than sorting through them all. It's so good at learning your editing style and automatically applies your personal touch across all images quickly and efficiently! From automatic color grading, exposure adjustments, or contrast preferences, this digital asset has you covered!
It also integrates seamlessly with Adobe Lightroom, cutting down on valuable wasted time. My favorite feature of Imagen AI is the ability to pay per image rather than an overall package, making it a perfect option for novices just getting their feet wet in the business. If I were you, I would definitely look into what Imagen AI has to offer today!

Narrative Select
Like the aforementioned Aftershoot, Narrative Select excels in culling groups of photos to your liking. While Aftershoot is more broad-based and best used for higher volumes of photos, Narrative Select is a bit pickier and best utilized for the minute details. When you have 20 similar shots and you want to pinpoint the most appealing, Narrative Select is your best friend. Think of it like this. For large events with tons of people like a wedding or fundraising event, Aftershoot will help you narrow it down. If you're looking for the perfect portrait photo for an actor who needs ideal facial expressions and eye contact, choose Narrative Select.
It truly saves you so much time, especially if you anguish over tiny nuances. I particularly love the "quickly see" feature that ranks the best photos at the toggle of a switch and the "AI-powered eye detection" function that immediately catalogs open or closed eyes. There are loads more. Take a look for yourself!
➡️ At $15 per month, you can't go wrong. Try it for yourself with an extra 10% off by using this Discount Code!
Capcut
Even though this editing tool is mostly for videos, I had to include it on the list since it's such a great app. If you're a photographer looking to broaden your horizons and venture into video, or need a transitional multi-media tool that's extremely intuitive and easy to use, look no further. Just import your raw files, choose some transitions, add some music, and let Capcut do the rest!
It's also great for social media platforms as it allows you to easily resize and reformat content for TikTok, Instagram, or YouTube. You'll feel like an editing pro without possessing an editing pro's skill set, it's that easy.
If you're a photographer looking to integrate photos, videos, and music for dynamic slideshows, social media videos, and multimedia projects, use Capcut! Oh, I forgot to mention, it's available for free!
➡️ If free version is not enough for your need, you can get Capcut Pro 7 day trial using this code.
Evoto
AI Photo Editor and Portrait Retouch Tool
Once Photoshop gets me most of the way there, Evoto is where I go to nail the finishing touches that would otherwise take forever to do manually. My favourite features are hair removal, glass glare removal, and skin retouching — all done in just a few slider adjustments. It’s not always perfect but it gets you 80% of the way there fast, and you can always polish the rest up afterwards. It's a great time-saver that genuinely earns its place in the workflow.
Pricing is flexible depending on how much you shoot. You can go with a pay-as-you-go credit pack if you edit occasionally (roughly $58), or opt for the annual Starter Plan at $95/year, which gives you 800 credits (one credit = one exported image). Need more? You can always top up with add-on credit packs at any time, no need to upgrade your whole plan.
➡️ Pro tip: Sign up through my link or use code IEVA15 to get free credits on your first purchase!.
Best Digital Asset Management Software
OK, you've finished the photo editing process for the most part, and have your top picks for the client. Now what? How do you organize and deliver your products in a professional and orderly manner that will leave a lasting impression? You can't simply send them over on a hard drive, or at least I don't suggest it. What you need is a management system that works with you and not against you. Use the following to help you do so.
Narrative Publish (+ promo code)
Creative visually stunning online galleries
As photographers, our job is to tell the best visual stories possible and one of the most effective ways to do that is through elegant photo galleries and portfolios. A common rookie mistake is presenting your work on a, how should I say, barbaric delivery format like a Word Document or PDF, or spending hours of tedious positioning on a webpage not designed for photo optimization. Don't do this. Not only will your quality suffer, but your head will never stop throbbing from the hours of frustration. I say this with great experience :)
Instead, do what I do now and upload beautiful image collages in 5 minutes through Narrative Publish! I'm not lying when I say a child can do it. It's as easy as drag and drop. They work well with WordPress, WIX, Squarespace, and any other website you have. They even come with a built-in SEO-friendly feature that highlights keywords you might want to improve on. An excellent way to showcase your work without all the hassle. Not bad for $6!

Pic-Time (+ promo code)
Deliver and sell beautiful products through your galleries
Going one step further down the online gallery platform road is Pic-Time. They too deal with managing client galleries and delivering images beautifully and stylishly, but their focus is more on the e-commerce side of things with additional sales and marketing features. If Narrative Publish were your creative and free-spirited Aunt, Pic-Time would be her practical and opportunistic husband.
Options include selling your photos to your clients directly from your online galleries, an automated print store with over 25 products, such as calendars and photo albums, advanced marketing tools like e-mail client retention, sales and coupons, and so much more! It's the perfect marriage of art and business.
Pic-Time is so handy, that I would almost go as far as to say, you're doing a disservice to your work without it. Starting at just $7, there's no reason not to give it a try. Just look at all these options!

Figma
Create social media visuals with Figma.com
As someone coming from a graphic/web design background, I couldn’t live without this next program. When I need something that really pops, or have clients who desire a collaborative experience, Figma never fails. It's what I use for the bulk of my social media promotions, mock-ups, and marketing materials. The drag-and-drop interface is so user-friendly and even the most technology-challenged will have no problems creating all sorts of dazzling visual content. And, it's super fun to play around with! I've spent countless hours messing around with its quirky and intuitive interface. If you're a design nut like me, give Figma a look-see.
You might be thinking, "Doesn't Canva do this?" and you'd be partially correct. Canva is similar but comes with fewer features and requires a small monthly fee to access all the goodies. Figma is completely free and provides more complexity, user interface, and user design options while doing everything in real time. If you have clients who want an interactive experience, with both the process and finished product, there's no better choice than Figma!
One drawback I do have to mention is there's no way to create visuals on a mobile device, but that's a relatively small con to an overwhelmingly awesome design tool.
Additional Project Management Tools
These next entries on the list aren't specific to photography but are incredible for your workflow if used properly. When it comes to running your business, time is money and if you ask me, more valuable. You can always make more money, but you can never get more time so why not set yourself up with multiple tools geared toward saving as much as you can?
Google Workspace
Sign up with workspace.google.com
I use Google for everything, not just for business, and I'm obviously not alone. In this digital age, billions of users have signed up with a Google account for their personal and/or professional lives. I'm willing to bet out of 100 surveyed, you'd be hard-pressed to find 1 or 2 without one.
If you're in business, you have to get with the times and sign up with Google Workspace. Not only does it include all the free features of a regular Google account, it comes with a bunch of useful extras. For instance, if you don't have a website up and running but want to present yourself in a better light, create a custom domain email e.g., yourname@yourphotography.com for that added layer of professionalism. Totally worth the $6 per month.
Besides email, there's additional cloud storage, group file sharing, collaborative tools and documents, longer virtual meetings, everything inside Google Drive, a plethora of templates, and more! You name it and need it for business, Google Workspace has it! It even comes with a translator app, so when that big international client comes through, you'll be well prepared to keep them happy and satisfied. Check it out when you have a chance!
Calendly
Book meetings, appointments, and photoshoots
I know what you're thinking, "If I have Google's suite of tools, why download another Calendar app?". It's a good question with an even better answer! On the surface, Google Calendar and Calendly are both used to schedule meetings and plan your days, but what sets Calendly a notch above is the ability for clients to book appointments directly based on your availability.
You simply set your open time blocks and let your clients choose which slots work for them. Easy peasy! This reduces the back-and-forth often involved in scheduling which in turn provides an easier experience for both! Instead of you needing to manually input everything, Calendly sorts it all. A nice way for clients to schedule time with you rather than the other way around. A free tool not to be overlooked.
Notion
Get organised with the powerful note-taking tool
Jotting down details can work you up in a frenzy, especially if you use multiple ways to do so. During an important call or when you're walking around and listening to the client's needs, it's important to collect every bit of information in a useful way that you can readily access later on. Of course, you can try your standard note app on any computer or phone, but I find them stale and not very beneficial.
Since I'm an organizational freak, I can't live without my favourite task-master app, Notion. Not only does it provide a smooth all-in-one workspace, but it also has a customizable and scalable structure ideal for teams looking to improve their productivity. You can create mood boards, custom templates, meeting agendas, project plans, and so much more. Oh, I can't forget about the emojis! They're so cute!
So if you want a solid app that will keep you on the straight and narrow, check out Notion. They have a free version, that's great for anybody just starting out.
Squarespace
I truly believe growing a successful business requires a website. There's no way around it. However, if you've never tried creating a site of your own, the thought of putting one together can be quite intimidating. Enter Squarespace. This friendly piecemeal building website is perfect for businessmen and women who want to sell products or services online quickly without jumping through technical hoops.
It's extremely easy to use, comes with loads of fabulous customizable templates, and options for selling your digital images with 0% transactional fees ($ 23 per month option). This all-in-one solution will cater to every one of your needs, I guarantee it! Just like the other powerful tools I've covered in this article, Squarespace's interface is centered around drag and drop. Spend less time worrying about the finer details and more time running a successful business with Squarespace!

Wise (+ promo code)
Transfer money securely and fairly
We all need to get paid right? Even though photography is my passion, I still need to make a living and I'm sure you do as well. One of the best apps I've found for money transfers is Wise. It's low-cost, transparent, and quite fast! It's particularly useful for international clients due to its bank-beating fees and real-time currency exchange at no extra cost. If you need to send or receive money invoices, especially abroad, look into using these guys.
Since I’m based in Denmark and the majority of my clientele comes from Europe in euros or the States in dollars, I would be losing a significant amount of money constantly converting back and forth, but that's not a problem with Wise. They allow you to manage multiple currencies like a local bank, making it easier to receive payments.
With over 80 countries in their global reach and their state-of-the-art encryption, Wise is the leader, at least in my opinion, of crucial money management.
➡️ Get started using this code - It enables your first money transfer of around 500 GBP for free!
Other Tools for Photographers
Last, but not least, are a few miscellaneous resources you might ordinarily gloss over. They're great for any type of business, not just professional photography. I think they're worthy enough for a quick look and you never know, they could become essential tools you never knew you needed!
Manychat
Automate client communication with manychat.com
A lot of my leads come from social media but sometimes I'm either too busy to respond or incommunicado altogether. This might not be a big deal for 1 or 2 messages here and there but as your business grows, so do the different directions you get pulled into. That's why I love this next app. Manychat allows you to set up automatic responses and follow-ups for all of your social media accounts, providing immediate answers and potentially saving future clients from looking elsewhere.
Not only that, its chatbots will actually find leads for you! Talk about a major upside. All it takes is one valuable piece of information and bam, you're booked!
There are a bunch of other perks like detailed analytics of your campaigns, performance tracking, click-through and conversion rates, and loads more. I find it quite fascinating and so advantageous. I bet you will as well!

Unscripted
Pick the perfect poses with unscriptedphotographers.com
Another great tool I can't get enough of is Unscripted. If you're a lifestyle, portrait, wedding, or family photographer and haven't joined them, you're severely missing out. Not only do they have an extensive library of over a thousand poses (broken down by category) you can freely reference, but also have somewhere in the neighborhood of 300 prompts that are excellent for creating natural reactions and authentic moments. So, so helpful during shoots when you need quick inspiration or want to flatter your subjects in the best possible light.
That's not all! In addition, they have pricing guides, customizable contract templates, invoicing software, a location-scouting feature that'll never leave you without tons of gorgeous photogenic options, and a bunch more you'll surely adore!
➡️ Sign up for free to get a taste and when you're ready, the $17 per month for all the prime features you'll spend will feel like a steal
NordVPN
Stay secure when traveling and/or working in a public space with NordVPN.com
I don't know about you, but a lot of my work is either on the road, in coffee shops, random venues, or in unfamiliar locales where wifi security isn't a high priority. Since we deal with client information we need to be secure and feel confident when uploading sensitive information. With NordVPN, you don't have to worry about anything.
Their strong encryption is nearly fail-proof and their IP masking lets you protect your privacy when browsing or sending online content. Isn't it comforting to know that any data you upload, download, or share remains safe from hackers or unauthorized access? I think so!
➡️ You can go monthly from approx. $4. The safety and security are worth way more than that! And with this code, you can get 3 months for free.
That wraps up my list of 15+ essential tools for running a photography business! I hope this post has inspired you to explore new tools you may not have encountered before and take advantage of trial programs to find what works best for you.
